The Administrative Assistant Iwill perform administrative, secretarial and clerical services for Earth andEnvironmental Sciences, which may include those of a detailed and confidentialnature, may involve a substantial amount of complex detailed and technicalwork, will report to the Program Coordinator, and assist the Director ofUndergraduate Studies. Function with ahigh degree of understanding of University policies and procedures.
The Earth and EnvironmentalSciences are aimed at understanding Earth's dynamic history -- how Earth"works" and records its origin and age in rocks and landscapes -- andhow geological processes affect modern environmental and ecological systems.Among the natural sciences, ours is the quintessential interdisciplinaryscience, providing vital perspective on how Earth's physical and geochemicaltemplates simultaneously sustain and threaten life, and influence humaninteractions with Earth.
Duties and Responsibilities
Serves as DepartmentalProcurement Requester.
Process procurementorders, assist faculty and students with expense reimbursements.
Manage Logistics ofAcademic Course Field Trip formalities.This includes reserving rental Vans, obtain student offsite travelapprovals, and accommodations as needed.
Manage DepartmentalColloquiums, serves as Guest Travel Coordinator for visiting speakers; submittravel arrangements, itineraries, announcements and reimbursements as needed.
Provide administrativesupport to the Department Chairman, Director of Undergraduate Studies,Administrative Manager, and Program Coordinator as needed.
Manage facility repairrequest, IT request, and equipment repair request.
Maintains faculty andstudent database, webpage maintenance, special projects as directed.
Responsible for frontdesk operations, room reservations, classroom and conference room equipmentmaintenance, and ordering office supplies.Provides classroom support (Audio/Video, copying/distribution).
Perform other duties asassigned.
Profile of an Ideal Candidate
HS Diploma or GED isnecessary.
An Associate's Degreeor Bachelor's Degree from an accredited institution of higher education ispreferred.
Three years of highereducation experience is preferred.
Proficiency inMicrosoft Office is necessary.
Webpage maintenance ordesign is preferred.
